What personal data we collect

We may collect and process personal information that you provide directly to us, including your name, email address, telephone number, booking information, payment-related information and any information you choose to share when contacting us or booking a conversation.

How we use your personal data

We use your personal data to respond to enquiries, manage bookings, provide our services, process payments, communicate with you about your appointment and, where appropriate, comply with legal or regulatory obligations.

Legal basis for processing

We process personal data where it is necessary to provide our services or respond to your requests, to comply with legal obligations, or where we have a legitimate interest in operating and improving our services. Where consent is required, we will ask for it separately.

Payments and third-party services

We use third-party service providers where necessary to operate our services. Payments are processed through Stripe, including card payments and Apple Pay. We use Systeme.io for our online checkout, Calendly for appointment scheduling and Zoom for online conversations. These providers may process personal data in accordance with their own privacy policies.

How long we keep your data

We keep personal data only for as long as necessary for the purposes for which it was collected, including providing our services, managing bookings and meeting any legal, accounting or regulatory requirements. When personal data is no longer needed, we will delete it or securely anonymise it where appropriate.

Sensitive personal information

Because of the nature of our services, you may choose to share sensitive personal information with us, including information about your physical or mental health. We only use this information where necessary to understand your situation and provide the support you have requested, and we treat it with particular care and confidentiality. Where we rely on explicit consent to process sensitive personal information, we will ask for this consent separately and you may withdraw it at any time.

Who we may share your data with

We may share personal data with trusted service providers where this is necessary to operate our services, such as Stripe, Systeme.io, Calendly, Zoom, website hosting and technical service providers. We do not sell your personal data.

Your data protection rights

Depending on the circumstances, you may have rights under data protection law, including the right to access your personal data, ask us to correct inaccurate information, request deletion of your data, restrict or object to certain processing, and request a copy of your data in a portable format.

Where we rely on your consent, you can withdraw it at any time.

To exercise any of these rights, please contact us at kontakt@fourhandsfamily.com

Complaints

If you have concerns about how we handle your personal data, please contact us first at kontakt@fourhandsfamily.com.

You also have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection.

International data transfers

Some of our service providers may process personal data outside the United Kingdom. Where personal data is transferred internationally, we take steps to ensure that appropriate safeguards or other lawful transfer mechanisms are in place in accordance with UK data protection law.
